About the Opportunity:

Join our team of talented, high-performing, and mission-driven TRAXers as an Administrative Assistant at our Corporate Headquarters in Las Vegas, Nevada, where we provide support to more than 1,300 employees located across the U.S., Central and Latin America, and Asia.

The Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the corporate office.  This position provides support to employees, managers, and executives, in the corporate office and remotely, through a variety of tasks related to office administration, human resources, facilities, finance, procurement, and vendor relations. This position is the primary point of contact for administrative functions at the corporate office and will provide direct support to executives including the Chief Executive Officer (CEO).  The ideal candidate for this position has a professional presence and is experienced using a variety of business office systems and software, including audio visual peripherals and proficiency with Microsoft Office applications.

Qualifications

* Performs clerical duties, which may include basic Word Processing, database entry, filing, organizing, and assembling, shredding, and other office support duties
Composes and distributes correspondence, memos, emails, reports, and presentations
Answers the firm’s main phone line and transfers callers or takes messages as appropriate
Screens calls to direct lines, manages calendars, and makes travel arrangements
Receives, processes, sorts, scans, and distributes all incoming USPS mail, UPS, FedEx, Express and hand deliveries. Processes outgoing mail and overnight packages. Follows office-specific procedures for incoming and outgoing mail from all sources. Ships packages to OCONUS locations as appropriate.
Ensures operation of equipment by completing preventive maintenance requirements and/or calling for repairs
Maintains cleanliness of kitchens, including restocking cabinets and refrigerator, and cleaning counters
Maintains copy rooms and printers, including filling copiers with paper and maintaining inventory of office supplies in workspace
Facilitates setups, cleanups, and general cleaning of conference rooms
Maintains supplies inventory by regularly checking stock to determine inventory level, anticipates needed supplies, places, and expedites orders for supplies, verifies receipt of supplies
Maintains orderly appearance of all common areas within the office
Provides general support to visitors and service providers
Reviews and reconciles vendor invoices
Processes travel requests and prepares expense reports
Arranges, participates in, and implements, as directed, conference and committee meetings as well as coordinating and aiding in the preparation of meetings and onboarding
Completes external errands, which may be driving or walking, by drop-off and/or pick-up
Develops presentation materials, diagrams, graphs, charts, etc. as needed for Management, Executives, and designated departments
Acts as corporate export compliance specialist and maintains knowledge of U.S. Export Control Regulations
Administers company cell phone plan
Assists as needed with projects, administrative work and other duties as required to support and aid corporate staff and other colleagues including copy jobs, creating notebooks, and scanning and sending documents
Performs other job-related duties as assigned

Required Skills and Qualifications

* Associates degree or bachelor’s degree from an accredited college or technical school, or equivalent combination of experience and formal education
Demonstrated administrative experience of 3 – 5 years, preferably in the corporate office setting
Ability to perform tasks with a high degree of discretion, independent judgment, and autonomy
Knowledge of office management systems and procedures
Strong time management skills and ability to multi-task and prioritize work
Proven attention to detail and problem-solving skills
Ability to maintain high degree of diplomacy, security, integrity, and confidentiality
Polished customer service skills and professional presence
Excellent written and verbal communication skills
Demonstrated proficiency in MS Office with high proficiency in Word, Excel, and PowerPoint

Physical Demands and Working Conditions:

* The work of this position is performed in an environmentally controlled office environment
Must be capable of sitting and entering data on a computer keyboard for extended periods of time
Must be able to view computer monitor for extended periods of time
Must be able to lift 25 pounds unassisted
